Using training inventories in Schedule2.IT
Training inventories let your team practice using Schedule2.IT before working with operational inventories. They are useful for onboarding new employees, refresher training, and walking through your agency’s workflows.
You can reset a training inventory after a practice session so it is ready to use again.
Before starting: Confirm that you have selected a designated training inventory. Simply including “Training” in the inventory’s name does not enable its training classification.
Set up a training inventory
An authorized user with permission to create and edit inventories can configure the inventory.
- Create a separate inventory for practice and give it a recognizable name, such as Training Kit 1.
- Select the appropriate Inventory Type and enable For Training Inventory.
- Configure the applicable inventory actions and box-seal settings, then save.
- Complete the initial inventory setup with the products and quantities you want to use during training.
- Associate the instructors and employees who need access to the inventory.
If you reach your agency’s training-inventory limit, contact Schedule2.IT Support.
Run a practice sessionHave employees sign in with their own accounts and select the training inventory. Available actions depend on their permissions and your agency’s settings.
An instructor can guide employees through relevant workflows, such as shift changes, medication-use documentation, replenishments, and transfers between designated training inventories.
Before submitting each activity, verify the inventory name and training designation. Use simulated information for practice.
Reset for the next sessionResetting removes practice activity and restores inventory quantities from the recorded setup baseline. It does not preserve the inventory exactly as it appeared immediately before the reset.
- Open Admin → Training.
- Locate the inventory you want to reset.
- If box seals are enabled, review Last Seal. Keep the existing value or enter the seal you want to use.
- Select the inventory’s reset button. Use Reset All only when you intend to reset the training inventories in the list.
- Confirm the reset.
- Wait for the background process to finish, then reopen the inventory and verify its quantities and seal before starting another session.
Important: Resetting a training inventory with transfer activity can also reset other training inventories connected through transfers. Coordinate with other instructors before resetting.
Review any practice records you need before resetting. Reset is intended to prepare inventories for reuse, not archive completed training.
Who can reset an inventory?Resetting is restricted to Managers, Administrators, and Schedule2.IT System Administrators, subject to the required permissions and inventory access. View Only users cannot reset inventories.
Why is my inventory missing from the training list?Ask your administrator to check that:
- The inventory is marked For Training Inventory.
- You are associated with the inventory.
- Its first-time setup has been completed.
- It is an eligible Truck or Dispensing Machine inventory.
- Your permissions allow access to the training screen.
Can I convert a training inventory into an operational inventory?
Contact Schedule2.IT Support if an inventory was classified incorrectly. Training inventories should remain dedicated to practice; changing their classification can affect how existing records appear in operational dashboards and reports.
